Fast reset of the stand after the reception
A cocktail reception is a separate job from the day-to-day refreshments at a fair: it starts at a set time, runs for a set period, and during that period the number of guests rises to several times the stand's normal level. Planning follows from that.
Welcome
Having a drink in hand the moment a guest walks in sets the tone of the invitation. A welcome point set up near the entrance both spreads out the queue and prevents a build-up at the entrance to the stand.
Style of service
Two methods are used together: roving service with trays and a fixed buffet. Roving service keeps guests where they are and does not interrupt conversation, while the buffet takes the load at busy moments. Which of the two dominates is decided by the length of the invitation and the size of the area.
Drinks setup
Soft drinks, fruit juices, iced tea and seasonal drinks form the standard setup. If alcoholic service is requested, the fairground's permission status must be checked in advance; not every exhibition centre allows it.
Duration and per-guest planning
For a one-and-a-half-hour reception, an average of three drinks and between six and eight items per person are planned. As the duration grows, it is drink consumption rather than food that rises, and the menu is built around that distinction.
Clearing
The area is cleared as soon as the reception ends. If the fair day is still running, the stand is returned to its pre-reception layout within fifteen minutes.
