What is an AI phone assistant, and which businesses suit it?

An AI phone assistant is software that answers the business phone, speaks with the caller in natural language and performs actions where needed. What separates it from familiar interactive voice response systems is that it uses no keypad menu: the caller speaks normally, the assistant listens and replies.

What it does and does not do

It does: answer calls around the clock, convey the business's services and opening hours, book appointments, send reminder messages, keep an audio recording and written transcript of the conversation, and hand a matter it cannot resolve to a person.

It does not: invent information it was not taught. If no price list was given, it does not quote prices; if no campaign was defined, it does not promise one. This is not a limitation but a safety feature — an assistant that makes things up costs more than never answering the phone.

Which businesses it suits

The deciding factor is not the sector but two measures: call volume and the cost of a missed call.

In appointment-based businesses, a missed call is a lost appointment outright: clinics, beauty centres, dentists, vets, vehicle service centres. In estate agencies and e-commerce firms, calls spread beyond working hours. In restaurants, nobody is free to pick up during the busy period — exactly when reservations come in.

By contrast, where call volume is low and every conversation requires long technical consultation, the gain stays limited. There, an assistant makes sense only for pre-screening and out-of-hours answering.

What installation requires

The quality of the assistant follows from the information it is given. Installation starts with these: service list, price ranges, opening hours, frequently asked questions and appointment rules. Then number forwarding is set up, the calendar is connected, and answers are reviewed through test calls.

The most common mistake is treating installation as a one-off job. Reading the first week's recordings reveals questions nobody anticipated; the assistant improves with them.

Measurable outcome

Whether the system works is measured with three numbers: the share of calls answered, the number of appointments the assistant created, and the share of conversations handed over. A high handover rate is not a bad sign; it shows the assistant's boundary has been drawn correctly.

When deciding

Answer this question: how many calls went unanswered last month, and how many of those would have brought business? If you do not know that number, measure it first. An AI assistant pays off quickly where that number is large; where it is small, there is no problem being solved.
